Job Summary
Position is responsible for administrative services (as defined below) and reports to the President of the Board.
Summary of Essential Job Functions
✓ Manage incoming requests (phone, mail, email, in-person members, etc.) and direct to appropriate personnel – all with a welcoming smile and “can-do” attitude.
✓ Responsible for club administrative services needs to include, but not limited to: information technology (IT), employee benefits, human resources, clubhouse maintenance, Westside maintenance, etc.
✓ Maintain accurate financial records and reports for Hillcrest, including bank reconciliations, capital expenditure funds, managing the General Ledger and Fixed Asset List resulting in an accurate Balance Sheet, Income Statements (to the department level) and Cash Flow Statement (to include Cash Flow Forecast).
✓ Oversight of budget development, capital expenditures budget and monthly analysis. This includes a thorough knowledge of Jonas (the club’s ERP software).
✓ Prepare and file taxes and other federal and state required documents as needed. Coordinates with outside CPA firm for annual income tax returns and annual property tax returns.
✓ Prepare documentation and attend Financial Committee and board meetings as required (typically evenings) and provides input and understanding to the documentation.
✓ IT and phone system:o Understand and assist in maintaining current hardware and software
o Manage and improve phone system (as needed) and related member interface
o Develop policy and processes related to IT and phone system usage, etc.
✓ Accounts receivable:
o Close of daily activity in Jonas system
o Daily posting of A/R and adjustments to member accounts
o Invoice of nonrecurring items i.e. special events, etc.
o Manage past due accounts process and related collection efforts
o Process print and mail (or email) monthly statements, process and posting of ACH and credit card A/R
✓ Accounts payable:
o Processing and payment of coded invoices
o Manage vendor contracts
✓ Human Resources and payroll:
o Maintain HR compliance, licensing, regulatory documentation and insurance
o Manage input of approved hours from Timekeeper and timesheets into payroll system
o Manage tips information for payroll purposes
o Manage new employee set-up in Jonas, new hire packet and any employee human resource or related tasks such as healthcare administration
